What the Bot Uses
The bot only works in our Discord server. There, it uses:
- Membership: when you apply on our website, it checks whether your Discord user ID is in our server. Discord's answer includes your member details (such as nickname, roles and join date). We only use whether you're a member.
- Joins and boosts: when you join or boost, it uses your name and avatar to make the welcome or booster card, and posts it in the welcome channel.
- Your ✅ on the rules post: to give you the Verified role, or take it away if you remove it.
- Who posts in the raid-bot trap channel: to ban them. The bot sees that a message was posted there and who posted it. It does not read what the message says.
- Your activity, for levels: that you sent a message (not what it says), when you're in a voice call and with how many people, and that you added a reaction.
- What you say to the AI: when you mention the bot or reply to it, the text of that message (and the earlier messages in that reply chain) and your display name are sent to the AI so it can answer.
- Tickets: the bot makes a private thread only you and staff can see. What you write in it stays in our Discord server, read by staff. While the ticket is open, the bot keeps its own copy of the messages (so nothing is lost if the thread is deleted). When the ticket is closed, the bot writes a transcript (the messages, names and times) for the staff-only log, sends you a copy, and deletes its own copy.
- Reminders: when you ask the AI to remind you, the bot keeps your user ID, the channel, what to remind you of and when, until the reminder goes off.
- Your time zone: the first time you ask for a reminder at a clock time (like 18:30), the bot asks which time zone you're in and keeps it with your user ID (a zone like Europe/London, or an offset like UTC+2), so later reminders use it. You can change it at any time.
- Moderation: when staff act on you through the bot, it uses your user ID, name and roles (to check staff are allowed to), and sends you a direct message about it.
The AI Helper
The AI is either Claude, made by Anthropic, or, while we're testing, a small AI model that runs on our own computer. With Claude, messages you send to the AI are processed by Anthropic to write the answer, under Anthropic's own privacy policy. With the small model, nothing leaves our computer. So it understands follow-up questions, the bot remembers your last 5 messages with it in that channel for 30 minutes, only in memory (never saved, and gone when the bot restarts). The replies stay in the channel like any other message.
Don't share passwords, payment details or other private information with the AI.
What the Bot Keeps
For levels, the bot keeps, per member:
- Your Discord user ID, display name and avatar link (to show you on cards and leaderboards)
- Your chat XP and voice XP
- How many messages you've sent, how many minutes you've spent in voice, and how many reactions you've added
If staff warn you, the bot keeps each warning: your user ID, the reason, which staff member gave it, and when. Staff can clear your warnings.
Transcripts of closed tickets stay in the staff-only log channel until staff delete them. Reminders are deleted once they go off.
It keeps your time zone if you told it one (see above), until you change it or ask staff to delete it.
It never keeps what your messages say. Apart from that, it keeps only its own settings: which channels, roles and messages it uses, who is staff, and facts staff taught it (like the website address). Bans from the trap channel and actions staff take through the bot are noted, with your username and user ID, in a staff-only log so staff can see what happened.
Welcome and booster cards stay in the welcome channel like any other message, until staff delete them.
What the Bot Does Not Do
- Read what your messages say, except messages to the AI and in tickets (above)
- Store what your messages say, except ticket transcripts and reminders (above)
- Listen to or record voice calls
- Look at your other servers or your friends list
- Send you direct messages, except about a ban, kick, mute or warning, the decision on your application, a copy of your closed ticket, or a reminder
- Sell or share anything about you
Your Application
Your application is saved by our website. The bot posts it in a staff-only channel, gives you the Members role (and takes it away if you delete your application), saves staff's decision (read, accepted or declined, who decided and when) with it, and sends you a direct message with the decision. Our main Privacy Policy explains what we keep from it.
Third Parties
The bot runs on Discord. Discord has its own privacy policy for the data it holds about you. When the AI is Claude, messages to it go to Anthropic, as described above. We don't share anything from the bot with anyone else.
Your Rights
You can ask staff through our Discord server to delete your level data, your time zone, or your welcome or booster card, at any time. For data the website holds about you, see your rights in our main Privacy Policy.
Changes to This Policy
We may update this policy from time to time. Changes will be shown on this page with an updated date.
